Summary: The Administrative Assistant to the Clergy is an integral member of Congregation Beth Ahabah’s office team, assisting clergy in maintaining and building relationships with members of the congregation and wider community. The responsibilities of this position include assisting the clergy team, greeting members of the congregation and welcoming them to the building and offices, processing incoming mail and phone calls, and interfacing with membership database. The hours of this position are M-F 9am-5pm, excluding certain American and Jewish holiday dates.

Overview of Main Responsibilities: 

 

Assisting the Clergy Team 

  • Manage clergy calendars 
  • Assist clergy with congregational correspondence and scheduling 
  • Assist clergy in coordinating with families for life cycle events, counseling, meeting potential new members, etc. 
  • Track, process, and file life cycle information, including funerals, baby namings, conversions, etc. 

 

Receptionist/Front Office  

  • Greet members of the congregation and welcome them to the building and offices 
  • Coordinate access to the facility for vendors and others 
  • Answer and direct incoming phone calls 
  • Check and respond daily to congregational voicemail 
  • Check and respond daily to congregational emails 

 

Clerical Work 

  • Sort, open, and log incoming mail (includes daily financial mail log for check and cash donations) 
  • Direct outgoing mail and correspondence  
  • Organize and inventory office supplies 
  • Photocopying, scanning, and compiling  
  • Other organizing and filing as needed 

 

Qualifications 

  • Candidates should have excellent communication and interpersonal skills, be a team player, be flexible, detail-oriented, organized, and methodical.  
  • Must maintain strict confidentiality. 
  • Ability to effectively manage multiple tasks and prioritize demands. 
  • Familiarity with Microsoft Office Suite and Google Workspace is required 
  • Familiarity with Shulcloud is not required but a plus

Contract Type: Full-time, salaried with benefits.  

 

Salary Range: $40,000 to $50,000 annually, based upon education and experience.
