This position is a full-time position in AJC’s Development Department equally supporting Planned Giving and Donor Relations and reporting to the directors of those departments.

The Development Coordinator is responsible for the logistical details of AJC’s Planned Giving and Bequests programs. Planned gifts are an important source of revenue for AJC and help to provide the financial security to support the long-term mission of AJC.

The Development Coordinator is also responsible for Donor Recognition Society operations, events and missions planning, donor stewardship operations, and administrative duties as assigned.

Responsibilities include:

  • Providing excellent administrative support to the Directors of Planned Giving and Donor Relations.
  • Responsibilities include handling phone calls, processing documents and gifts, organizing and maintaining electronic and hard paper files, entering notes in AJC’s donor database, handling correspondence, formatting gift proposals and agreements for donors and their estate planners. [Training for proficiency with Raiser’s Edge donor database will be provided.]
  • Maintaining and updating a calendar of marketing initiatives for planned giving promotional materials; coordinating all aspects of production with the Director, outside vendor, and Global Communications department; and preparing for timely distribution to donors.
  • Tracking planned giving prospects and donors with Director. Coordinate with AJC Regional Offices about the status of their prospects and update the listing of members of AJC’s planned giving donor recognition society.
  • Supporting Director in maintaining schedule of estates in probate/trusts, tracking and processing receipt of bequest income, and related acknowledgments.
  • Coordinating and attending National Planned Giving Committee meetings, related Investment Subcommittee meetings, special planned giving donor zoom briefings and taking minutes for these meetings.
  • Acknowledging gifts from IRAs and working with the Finance Department to ensure these gifts are properly reflected in Raiser’s Edge.
  • Attending and staffing select Development events as requested. May require some evening attendance.
  • Manage the logistics of donor cultivation and stewardship events such as diplomatic briefings, parlor meetings, and donor stewardship events.
  • Work closely with the Donor Relations team in stewarding major donors through the Donor Recognition Societies (DRS) program.
  • Assist with major AJC events such as the Global Forum and Diplomatic Marathon, managing the coding of Donor Recognition Society (DRS) membership in Raiser’s Edge and coordinating activities in cooperation and coordination with the team of staff to ensure VIP treatment for our highest-level donors.
  • Assisting Development staff with administrative functions as needed.
  • Attending Resource Development Department staff meetings.

    Qualifications:       

  • Excellent organizational, administrative and time management skills.
  • Excellent written and verbal command of the English language and good interpersonal communication skills. Candidate will interact with donors, tax, legal and financial professionals, and lay leaders.
  • A minimum of three years of experience as an Administrative Assistant or Legal Secretary.
  • Proficient in Word, Outlook, Excel and PowerPoint.
  • Excellent proof-reading skills; detailed-oriented with ability to multi-task.
  • Ability to meet deadlines and to manage multiple projects simultaneously.
  • Customer service oriented.
  • Optimistic and positive attitude.
  • Ability to maintain strict confidentiality.
  • Ability to work effectively in a fast paced and challenging work environment.
  • A team player who takes pride in his/her/their work.
  • Prior experience working for a not-for-profit organization or a related field, a plus.
  • Interest in learning about and acquiring skills for planned giving and development work.
  • Ability to handle independent projects.
  • Experience with Raiser’s Edge is a plus.
  • Interest in the mission of AJC is a plus.
  • A Bachelor’s degree and/or paralegal certificate.
