The Marketing and Communications Coordinator provides critical administrative and operational support to the Chief Marketing Officer and the broader marketing team. This role requires a detail-oriented, proactive professional who can manage multiple projects and timelines while serving as a central point of coordination across internal departments, external vendors, and marketing channels.
In addition to handling administrative responsibilities, the coordinator plays a key role in managing social media, vendor relationships, event marketing, and digital communications. This position offers a dynamic opportunity to be deeply involved in the execution of national and local marketing efforts.

Duties will include:
Administrative & Department Support
- Provide day-to-day administrative support to the Chief Marketing Officer and marketing team.
- Manage interdepartmental communications and maintain department documents, memos, presentations, directories, and files.
- Prepare and submit department expense reports; track invoices and coordinate with accounting on payments, accruals, and AMEX reconciliation via SAP Concur.
- Serve as a backup to other members of the marketing team as needed.
- Monitor and manage the central marketing inbox as the main point of contact for all incoming requests.
- Triage and assign requests to appropriate team members or designers.
Social Media & Digital Content
- Support daily social media activity including scheduling, copywriting, real-time posting, and story updates (3–4/day).
- Source and manage content, working closely with internal stakeholders.
- Submit all posts for legal review and approval prior to publishing.
Digital Marketing
- Prepare a monthly recap newsletter highlighting the top 4 events, including summaries and selected images.
- Collaborate with the Communications Director for review and with design for layout.
Campaign Tracking & Reporting
- Collect and report on campaign metrics across all channels including email marketing, Marketing Cloud, social media, digital ads, and direct mail.
- Assist in developing surveys, questionnaires, and evaluation tools to measure the impact of campaigns.
Event Coordination Support
- Assist with event registration and lists, deliverables, and follow-up related to national and regional events.
- Ensure completion of marketing requirements for events and act as liaison between stakeholders and the marketing team.
Vendor & Financial Coordination
- Manage relationships with all marketing vendors, including placing orders, processing invoices, and coordinating deliveries.
- Track vendor performance and ensure timely payments and service fulfillment.
Qualifications
- Bachelor’s degree in marketing, Communications, or a related field.
- Minimum 3 year of experience in marketing, communications, or related roles.
- Strong written and verbal communication skills.
- Excellent organizational skills and the ability to manage multiple priorities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint); experience with Canva, Adobe Creative Suite, Marketing Cloud, and Constant Contact is a plus.
- Familiarity with social media platforms and scheduling tools.
- Experience with invoice processing, expense reporting, and SAP Concur (or similar systems) is preferred.
- Ability to work both independently and collaboratively in a team-oriented environment.
- Self-motivated, creative, and adaptable with a high attention to detail.
Salary requirements: $50,000 to $60,000
