Adath Israel is a Conservative synagogue in Merion Station, PA. We are a thriving Jewish community on the Main Line with approximately 750 families. We are looking to engage an Administrative Assistant for our synagogue office, 30 hours per week. We are looking for a candidate who has excellent communication skills, works collaboratively with others, friendly and positive. This position will be the first contact for congregants and visitors on the phone and in-person and requires expert knowledge in Microsoft Office and knowledge of QuickBooks is a huge plus, reports to the Executive Director and functions as part of the synagogue’s administrative team.

Office Responsibilities included but not limited to:

  • Answer phones, route calls, welcome visitors, ensuring they have a positive experience, this includes taking donations and supporting congregational needs, and giving tours to prospective members.
  • Checking, responding and/or forwarding all messages left on the main phone line
  • Maintain office supply inventory and order supplies as necessary
  • Responsible to make service calls for copier, postage meter, phones, etc.
  • Produce recipient and donor letters (non-clergy)
  • Responsible to order weekly challah, Oneg & Kiddush food
  • Responsible for scheduling service calls
  • Responsible for contacting B’nai Mitzvah families and/or weekly sponsors for kiddush information, bimah flowers and colors including drop off kipot and programs
  • Ensure all food is delivered on Fridays by 3:00 PM
  • Responsible for food orders for meetings and events when needed
  • Take calls from members and non-members for facility rentals
  • Maintain records in a shared google drive on Kiddush document
  • Maintain all caterer and Kashrut certificates are up to date and filed
  • Contact vendors and caterers when information is expired
  • Help with folding, stuffing, and mailing Yahrzeit letters
  • Help with photocopying and scanning

Tribute Letters

  • Produce recipient and donor letters
  • Check ShulCloud for online donations and send letter
  • File backups and mail

Scrip Ordering/Maintaining inventory

  • Maintain all scrip in hand
  • Order scrip when needed
  • Reconcile inventory monthly

Weekly Food ordering

  • Responsible to order weekly oneg & kiddush food including Challah
  • Responsible to connect with B’nai Mitzvah families to drop off kippot/programs prior to date
  • Responsible to put kippot/programs in baskets and put out on Shabbat
  • Ensure that all food has been delivered on Fridays by 3:00 PM
  • Responsible for all food orders for meetings and events

Catering/Kashrut/Vendor Record Keeping

  • Maintain all records in a shared google drive with Kiddush spreadsheet
  • Maintain all caterer insurance and Kashrut certificates are up to date
  • Maintain insurance certificates for all vendors
  • Contact vendors and caterers when information is expired
  • Keep hard copy of all insurance certificates in binder

Hours: Monday – Friday: 9:00 AM – 3:00 PM


  • 3+ years of office experience
  • Strong organizational skills with attention to detail
  • Excellent communication skills
  • Knowledge of Jewish culture and practices is helpful, not required
  • Expert knowledge of Microsoft Office and Google Docs
  • Knowledge of QuickBooks is a plus
