Clergy Administrative and Program Assistant

Congregation Emanu-El seeks a new Clergy Administrative and Program Assistant to provide administrative and program support to several clergy team members (two full time, one part time). This person will assist with scheduling and support their program areas and special projects. Attention to detail, superb abilities with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), video conferencing (Zoom), and data management skills (Salesforce a plus) are critical for this position, as are strong interpersonal skills, a collaborative spirit, and a ‘can-do’ and creative perspective. This position requires efficiency, strong organizational skills, the ability to maintain confidentiality and the delivery of time-sensitive communication. This position is integral to providing a warm and welcoming atmosphere to all constituents.

What You’ll Do:

Administrative:
? Serve as the first point of contact for congregants vis a vis clergy - welcome and greet people professionally, including and especially those in moments of crisis
? Filters requests, screens calls, provides general gatekeeping and greet guests
? Manage clergy calendars and schedule meetings
? Coordinate group meetings and congregant one to ones
? Review clergy calendar on a regular basis to proactively identify needs and plan accordingly
? Database management:
? Support data management of congregant records, maintaining database accuracy through data entry of relational meetings, event attendance uploads, creating and generating reports, and maintaining clean records.
? Create and effectively utilize systems to manage clergy follow-up with congregants on a regular basis
? Manage communications for clergy
? Prepare mailings for life cycle events and anniversaries
? Prepare and send special email communications and e-blasts in coordination with Communications team
? Prepare packets and materials for community meetings and classes
? Support Shabbat, holiday and High Holy Day work as assigned
? General office management duties, such as: order office supplies, arrange and book travel, prepare and reconcile credit card report, receive, redirect, and respond to mail, etc


Program Management:
? Work with clergy and engagement staff to coordinate clergy-led special events and projects
? Prepare and manage online registration forms for events and room reservations. This includes generating reports and serving as key liaison to individuals and groups completing forms, answering questions, and addressing issues.
? Coordinate event logistics and programmatic needs with Facilities team
? Organize travel, reimbursement, and/or payment for outside scholars and vendors
? Utilize Salesforce registration and ticketing systems
? Work with Communications team on marketing for events

? Staff events as needed, occasionally on evenings & weekends
? Attend program planning meetings and proactively execute administrative needs for new programs
? Example Special programs include: adult education retreats, small groups registration and group management, Cantors concert series, conversion program

? Knowledge of essential computer software programs, including Microsoft 365 (Outlook, Word, Excel, Powerpoint, and Teams), Salesforce, and Zoom, as well as the agility and resourcefulness to learn new technologies if unfamiliar.
? The ability to balance multiple priorities with good judgment
? Discretion and professionalism in maintaining confidentiality of sensitive matters
? An understanding of and a willingness to contribute to our mission and vision
