About Hasbara Fellowships:
Hasbara Fellowships empowers our community of college student leaders to be pro-Israel activists on their campuses. Through our unique leadership training missions to Israel, we offer top level education and tools to empower students to lead on campus. We are active on over 95 campuses and train hundreds of student leaders per year.
Hasbara Fellowships is seeking an experienced Office Administrator based in San Diego or Los Angeles. They will be responsible for administering finances, donor communication, student data, and for supporting management. The ideal candidate will be competent in prioritizing and working with little supervision in a fast paced environment. They will be self-motivated and trustworthy.
The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth. The Office Administrator is strictly an administrative role. Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence with students and stakeholders, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
Coordinate office activities and operations to secure efficiency and compliance to company policies
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures
Create and update records and databases with personnel, financial and other data
Submit timely reports and prepare presentations/proposals as assigned
Managing the Hasbara Israel Program application process including organizing applications, communicating with accepted students, collecting payments and paperwork, communicating with participants about logistical aspects of the program
Serving as primary contact regarding grants, scholarships, materials and campaigns with students
Maintaining the Hasbara website and creating regular electronic newsletter
Overseeing printing and shipping of materials to campuses
Maintaining the organization’s stakeholder management database
Compiling seasonal and annual activities reports
Sending thank you letters to stakeholders
Performing other related organizational duties as assigned or required
Track stocks of office supplies and place orders when necessary
Skills / Qualifications
Proven experience as an office administrator, office assistant or relevant role
Excellent knowledge of MS Office, specifically Excel
Familiarity with office management procedures and basic accounting principles
Exceptional ability to multitask: Excellent organizational skills, detail oriented, and efficiency.
Outstanding communication and interpersonal abilities, including email etiquette
Salesforce, Quickbooks, Microsoft Excel and Mail Chimp
Salary is commensurate with experience. Salary negotiations will happen between the correct candidate and executive director.
