Job Purpose and Description
The Staff Accountant ensures timely and efficient processing of agency funds, including accounts payable/receivable and credit card transactions. This position provides support as necessary to the Registrar and Admin team, particularly financial support, with Camp Tawonga’s financial aid process and awards. The Staff Accountant plays a key role in month- and year-end close functions, including creation and maintenance of schedules and reconciliations. This position directly supports the Controller and plays a significant role in audits (annual audit, workers comp audit, etc.). The Staff Accountant will integrate with existing Camp Tawonga systems and processes and will also identify and execute system improvements.

Essential Duties and Responsibilities


Accounts Payable
- Process, file, and manage vendor invoices and inquiries
- Manage connection between payables and general ledger in accounting software
- Manage vendor files and annually prepare 1099 forms
- Manage credit card software, processes, and controls; ensure accurate transfer of information, including GL coding, from credit card software to accounting software
- Identify and propose AP system improvements as necessary and appropriate

Accounts Receivable, Financial Aid
- Support Registrar and/or Admin team with timely billing creation, financial and accounting technical components, invoice processing, and financial transactions related to family accounts
- Support Registrar with financial aid processes, data management, and integration with database
- Maintain open and constant lines of communication with Registrar to ensure that unique family needs and information are tracked and incorporated
- Support monthly AR reconciliation with Registrar and Controller
- Enter deposits in coordination with Development department

Month-, Quarter-, and Year-End Close and Reporting
- Support Controller with month-end close reconciliations, including accounts receivable, bank accounts, development revenue, payroll and payroll suspense, petty cash, personal reimbursements, and clearing account
- Generate, send, and troubleshoot staff spending reports
- Calculate internal labor costs for capitalization (quarterly)
- Calculate Sales and Use Tax (quarterly)
- Support with payroll tax return creation (quarterly)
- Support with annual creation and dissemination of W2/W3s
- Support with 403b, ACA, and other compliance reporting and calculations and filings as necessary

Audit
- Support Controller and Senior Director of Finance and Administration with creation of schedules, document retrieval, and other key aspects of annual external audit
- Support Controller with annual workers compensation audit
- Support with other internal and external audits as necessary

Other
- Support Controller and Senior Director of Finance and Administration with PPP forgiveness applications and ERC maximization (2021 and 2022)
- General ongoing support and assistance to Controller as necessary
- Other duties as assigned at the discretion of the Controller and/or Senior Director of Finance and Administration to support departmental and/or agency initiatives

Training, Experience, Skills, and Qualities
Required
- Minimum one year of bookkeeping experience, including exposure to some of the following: AP/AR, month/year-end close processes and schedules
- MS Excel/Google Sheets proficiency
- Experience with Quickbooks
- Experience with G-Suite
- Ability to hold sensitive information professionally and in confidence
- Highly organized, detail oriented, and passionate about excellence and accuracy in accounting work
- High math intuition and a love for numbers

Preferred
- Formal accounting experience
- Non-profit bookkeeping and/or accounting experience
- Intermediate-level experience with MS Excel/Google Sheets (e.g. Pivot tables, vlookup, and managing/manipulating large data sets
- Experience with Quickbooks Desktop
- Ability to communicate clearly, compassionately, and concisely with people from various backgrounds

Supervision
This position reports directly to the Controller
This position will occasionally indirectly report to the Senior Director of Finance and Administration as appropriate

Software
This position will heavily use the following types of software:

Microsoft Office/Google Suite
- Gmail and Google Calendar
- QuickBooks Desktop (with possible future transition to QuickBooks Online)
- CampMinder (camper/family database)
- Divvy (corporate credit card)
