Department Coordinator of Religious School

Yachad Department Coordinator plays a pivotal role in this mission by providing administrative support to the Yachad team. In this role, they must have excellent communication and organizational skills, a warm and inclusive demeanor, and a strong sense of Yachad’s foundational Jewish values undergird how they plan, coordinate and communicate. CBE believes in ongoing Jewish exploration and living through deep Judaic and ritual exploration.


Registration responsibilities:
Collaborates with the team responsible for Yachad registration
Once launched, oversees most elements of Yachad registration, including confirming forms, closing class sections, updating forms when requested, and responding to questions related to registration.
Manages the Yachad payroll and vendor payments
Attends monthly budget meetings with Finance Director, Yachad Director, and Assistant Director
Meets regularly with other department administration to discuss upcoming events and programs and works in collaboration on space challenges; communicates with preschool staff about room sharing
Serves as liaison with building and CBE staff on administrative, financial, technical, scheduling, and planning questions
Coordinates with IT
Processes paperwork for new hires and changes in employee status
Handles staff questions regarding vacation, personal (along with Director) and sick days, and all other items needed to liaison with payroll
Handles calendar questions
Provides parent support (along with Director and Learning Specialist)
Creates internal and parent facing google calendar
Communicates with parents and caregivers about unreported absences (e.g., at pickup, sickness, etc.); shares “health care” duties with Director when a child is hurt or unwell; calls parent when a child is ill
Manages the planning of all Yachad programs and events and works in partnership with the clergy or grade-level teachers involved to produce successful events
Coordinates security needs for special events
Manages event registration and reconciles payments with the CBE Finance Manager
Reconciles Yachad’s invoices and processes payment requests
Communicates emergencies, closures, and other relevant information to Yachad staff
Is point person along with Director and Assistant Director for urgent security and safety questions
Meets regularly with Events Coordinator and Maintenance Supervisor to ensure that Yachad program and event needs are adequately met
Bulletin board assistance for whoever is responsible for putting up boards
Responds to office phone calls and general Yachad emails
Organizes and maintains supply closets and library; manages supply requests and orders
Acts as the main point of contact for printing and supply requests from PT staff
Coordinates fundraising efforts for teacher appreciation, plans staff parties
Assists in the coordination of After School pickup; creates a daily list of pickup notes detailing absences and other relevant information for the After School Pickup Coordinator, stations themselves in the office from 2:45-3:45 to assist with After School pickup questions/concerns
Orders and distributes Yachad snack/dinners

Lower School (K - 2) coordinator
Disseminates lesson plans to K-2 teachers
Organizes logistical elements of K-2 (including Yachad K - 2 camp)
Communicates regularly with K-2 staff about changes, closures, and Yachad-wide efforts

General Administrative Support (approx. 7% of workload, as coordinated between the Director of Yachad and the Director of Member Services)
Part of the team responsible for live-streaming / virtual ushering, and ultimately onsite support of Shabbat and community events
Part of the administrative team responsible for general membership communications such as statements, ongoing acknowledgement letters, High Holy Day mailings and other communications

Qualifications and Expectations
Education Level: BA/BS
Years of Experience: 3 - 5 years in a similar setting
Strong background in logistics and coordination
Desire and ability to work with children and young adults
Be a self-starter and able to work with the minimum amount of supervision, particularly for managing logistics and the ability to know when to check-in before or during a crisis arises
Enthusiasm, patience and strong work ethic, and ability to work independently and as part of a team

Qualifications and Expectations
