Director of Administration
Founded in 1977 and rooted in our history as San Francisco’s gay and lesbian synagogue, Congregation Sha'ar Zahav offers the warmth and comfort of chosen family. Membership & Engagement
? Work with Membership Committee and Rabbi to define outreach and community engagement strategy and goals
? Develop strategies to recruit new members, retain current members and re-engage former members, and increase the sense of connection and satisfaction of the community overall and implement such strategies with the Manager of Community Engagement
? Support clergy and Dir. Of Education in putting on holiday programming
? Liaise with existing Sha’ar Zahav groups and committees and support them by promoting their initiatives and programming
? Oversee member experience by midwifing new groups and committees that satisfy the needs and interests of the community
? Conduct exit interviews with members when they choose not to renew; report findings to the appropriate committee(s)
Fundraising & Development
? Work with Fundraising Committee to define the synagogue’s development strategy
? Responsible for creating an annual development plan with seasonal campaigns and goals, consulting the Fundraising Committee
? Implement the development plan
? Provide performance data analysis to the Fundraising Committee for each fundraising campaign
? Write grant proposals and reports in collaboration with lay-leaders, clergy and Dir. of Education
? Implement donor stewardship and gift acknowledgement best practices
Marketing & Communications
? Define the synagogue’s marketing strategy with the Rabbi and other designated lay leaders
? Responsible for creating an annual marketing and communications plan, led by the synagogue’s marketing strategy
? Work with lay leaders to create two seasonal marketing campaigns to increase the outreach of Sha’ar Zahav’s Siddur, and increase the synagogue’s revenue from sales
? Develop strategies to build relationships with other organizations, and implement them with the Assistant Director
? Procure the content for and publish regular Sha’ar Zahav electronic newsletters, as well as additional dedicated email campaigns to promote holidays, other special communications and fundraising campaigns
? Manage the marketing budget
? Liaise with Sha’ar Zahav lay leaders and guest speakers to create marketing materials to promote events and programs
? Liaison with other Jewish organizations to co-present and co-sponsor events
? Collaborate with the Jewish Gaily Forward newsletter team of lay leaders to provide content for the quarterly publication
? Maintain accurate records, including contracts, permits, forms, files and compliance documents (copier, boiler, etc).
? Define facility compliance processes (health, environmental, safety, fire, earthquake, personal protective equipment, etc.), ensure they are up to date and implemented and schedule/conduct regular drills.
? Create and maintain HR policies with the Personnel Committee to stay compliant with employment law
? Supervises Assistant Director, and Bookkeeper and responsible for hiring and firing of Assistant Director and Facilities Staff.
? Make updates to the employee manual as needed, in conjunction with the Personnel Committee
? Coordinates annual reviews with Rabbi
? Track professional development opportunities for the team
? Marshal team-building opportunities by planning, with the Rabbi, an annual team retreat and occasional staff events
? Maintenance of the overall culture of Sha’ar Zahav to make sure the staff represents and embraces the congregation’s values when they interact with members, guests, fellow Jewish organizations, vendors, etc.
? Process expense requests and invoices
? Code expenses and revenue for bookkeeper
? Prints and signs checks
? Monitors expenditures against budget, working with Treasurer and Director
? Manage payroll
? Participate in meetings of the Va’ad
? Provide monthly reports to the Va’ad
? Conduct weekly staff meetings
? While staffing the door or phones is not expressly in your job description, all staff will periodically need to fulfill these roles
