Director of Synagogue Operations – Essex County New Jersey
We are a diverse and welcoming Conservative congregation in Essex County New Jersey with a vibrant preschool, a growing religious school, wide range of programming and a passionate and active volunteer community.

We are seeking a Director of Synagogue Operations to oversee the synagogue’s day-to-day operations functions. The ideal candidate will be a self-starter who enjoys engaging with people, excels at implementing and maintaining systems and policies, and brings strong project and people management skills. In addition to overseeing the administrative functions of the synagogue, this person will serve as a main point of contact for congregants, prospective members and work closely and collaborate with the Rabbi, Education Director and volunteers. The Director will report to the Synagogue president.


Communications & Member Relations
• Promote positive image of synagogue among staff and congregants
• Serve as the face of the synagogue for current and prospective members; ensure everyone feels welcome and is treated with kindness and dignity
• Address member concerns and questions directly when possible and refer them to the appropriate committee, board member, or staff member, as needed
• Work closely with the Board’s VP of Membership to schedule tours, prepare membership packets, and integrate new members into the community
• Work closely with volunteer Co-Chair(s) of Communications to coordinate promotional communications
• Attend and participate in board committee meetings, as requested

Office Administration and Technology
• Manage day-to-day operations of the synagogue including supervising office staff and custodians and collaborating with volunteers
• Maintain and update membership database
• Maintain and update synagogue calendar
• Oversee the computer, calendar and data management systems
• Oversee the scheduling and calendaring of all synagogue programs, events, and other facilities use, including for B’nai mitzvahs; ensure appropriate use of space and that usage fees are paid promptly
• Keep current on technological advancements in software and other IT and make recommendations for purchases/changes to the Board of Trustees, as appropriate
• Ensure all official synagogue correspondence is accurate, consistent with the appropriate standards, and delivered in a timely fashion

Buildings & Grounds
• Manage facilities operations and coordinate with Vice President of buildings & grounds as well as vendors and contractors on building maintenance and repairs
• Hire and manage custodial staff in maintenance care, repair of the building and property as well as religious articles
• Supervise synagogue security and liaison with outside security vendor and appropriate agencies
• Review insurance policies annually to ensure adequate coverage and make recommendations for changes to the Board of Trustees, as needed
• Purchase and supervise maintenance of all office equipment; arrange for prompt repair or replacement of property, as needed
• Regularly assess and report on the conditions of the grounds and building
• Oversee the setup and cleanup of facilities for events and services
• Manage relationships with organizations renting the synagogue and schedule use of the facilities and provide requested room sets

Religious Services
• Supervise all administrative aspects of High Holiday services including coordinating setup and breakdown of spaces, and any related IT needs
• Work with lay leadership on High Holiday honors
• Draft and implement checklists for all services
• Create and print weekly Shabbat service program
• Work with B’nai Mitzvah families in planning
• Manage sponsored Kiddushes including ordering of food and billing/collecting payments

Finance and Budget
• Supervise and approve all expenditures according to budgetary guidelines provided by the Board of Trustees and/or Board Finance Committee
• In conjunction with the bookkeeper, maintain records of income (including gifts, endowments, and memorial funds) and expenses and provide financial reports and statements as requested by the Board of Trustees
• Record and code all financial transactions
• Work closely with Finance Committee and bookkeeper to ensure financial data, including income/invoicing and expenses are recorded and tracked properly.
• Work closely with the Treasurer on the collection of membership dues, fees and arrears payments from members.
• Assist the Board Finance Committee in its preparation of the annual budget

• Bachelor’s degree
• At least 5 years of experience managing a facility, office, and/or multiple staff required
• Have excellent interpersonal skills, work efficiently and collaboratively, thrive in a fast-paced environment, value accountability and are detailed oriented
• Excellent written and verbal communications skills
• Familiarity with databases required
• Proficiency in Microsoft office and Google Workspace (Gmail, Drive, etc.)
