Operations Manager

Part time: 15-24 hours/week
Salary: $30 - $34 an hour

The Haberman Institute for Jewish Studies provides adults with high quality in-depth encounters with Jewish thought, history, and culture. Based in the Washington DC Metro Area, we have grown in recent years, and now offer online and hybrid programs year-round to the local community, as well as to learners throughout North America, and beyond. The Institute has a 30+ year storied history of intention and impact.

This new role is ultimately responsible for managing the operations of our office, and is an integral link between our community, board and staff team. Through a combination of in-person and remote duties, our small team has found success in our highly collaborative, and creative environment.

Job Responsibilities:
1. Financial and Office Operations
• Help manage all financial aspects of the Institute’s operations (with executive director and accountant) including accounts payable and receivable, preparing and recording deposits, reconciling banking statements, and maintaining QuickBooks and the CRM database
• Help create the organization’s budget, projections and financial reports in collaboration with the executive director and Board Treasurer
• Help manage payroll, benefits and compliance functions, including requisite hiring forms, payments, 1099s and other tax forms, and monitor tax withholding payments
• Staff lead for financial review and audit
• Work with the accountant, as needed, to ensure compliance with all State and Federal 501(c)3 tax and registration filings
• Maintain accurate records of all board meeting minutes, organization policies and board materials
• Manage use and upkeep of office technology and hardware, particularly CRM software
• Maintain inventory of needed supplies in consultation with staff; purchase as needed

2. Database and Development Support
• Maintain accurate records of all contacts, registrations and donations
• Help develop prospecting plans and guide prospect list generation
• Record and track touch points with community members
• Develop format and system for reports reflecting analysis of donations
• Assist in creation of mailings and ongoing donor communications (including acknowledgements and calendar year tax letters)

3. Other Duties:
• Marketing and program planning support, including social media and graphic design
• Staff occasional programs outside office hours as needed including Sundays, some Federal holidays, and weeknights (in person and online)
• Attend occasional board meetings and community programs outside of office hours (in-person and online)
• Perform other duties as assigned

Skills and Abilities Required:
• Strong administrative, communication and interpersonal skills, with prior office experience
• Demonstrated knowledge of Microsoft Office Suite, and the ability to learn other software, including our CRM (Neon) and Quickbooks
• Ability to work in a small team environment
• Attention to detail and timely responsiveness
• Ability to (and interest in) taking initiative to improve the organization’s efficiency and effectiveness
• Dedication to the organization’s mission
