Position: Program, Event and Production Assistant

Hours: Full-time (40 hours per week) Non-Exempt: Must staff evening and weekend services, programs and events. Flex schedule
Monday’s off and one other day per week, depending on programming.
Valley Beth Shalom is a warm, welcoming, vibrant Conservative Synagogue in Encino, with more than 1500 families and 65 years of creating meaningful Jewish connections for our members. VBS is seeking a Program, Event and Production Assistant.
The Program, Event and Production assistant provides support for Synagogue events and programming, and serves under the supervision of the Program Director.
Essential Job Functions:
Assist Program Director with scheduling for Synagogue calendar
Manage all aspects of event registration including creating registration forms, tracking registrations/RSVPs, processing payments, and communicating with participants.
Assist in creating program materials, emails, and web copy
Communicate with members by phone, email and in person.
Create and organize documents and spreadsheets through Google Drive
Coordinate with Operations and Facilities Manager to confirm event setups
Able to adapt to tasks as assigned.
Digital & Virtual Production
Oversee VBS’s OTT Virtual Platform (VBS TV), including creating, sourcing and producing content alongside our Programming and Media teams
Serve as administrator for Zoom and streaming events
Work closely with IT & Media Director to manage and host virtual programming, including b'nai mitzvah services
Event Planning & Staffing
Assist in planning of onsite, offsite and digital programs such as classes, Shabbat Dinners, congregation-wide programs, concerts, lectures, membership events and committee meetings. Tasks may include: Purchasing and organizing of supplies, placing food orders, printing material, partial room set-up, organizing program supplies, etc..
Serve as the primary staff person for Saturday Shabbat services and evening programs throughout the year
1-2 Years event planning, customer contact or member relations experience
Highly creative, out-of-the-box thinker with an outgoing personality
Default is to say “yes, let’s see how to make that happen” and do whatever it takes to get the job done well
Possesses a positive, “can-do” attitude
Advanced interpersonal skills with the ability to interact effectively with a diverse group of staff, clergy, volunteers, donors and community members, with tact, patience, discretion, and a willingness to be of service.
Superior attention to detail and accuracy, highly developed organizational skills
Familiarity with Jewish rituals and traditions is a plus
Extensive experience with Microsoft Office Suite, Google Suite, YouTube studio and social media platforms
Excellent written and verbal communication skills
Professional work style, ability to represent VBS in a public facing role
Able to work independently
