We’re seeking an Executive Assistant to provide support to the CEO and Editor-in-Chief, and fulfill a variety of administrative tasks within HR and office operations. The ideal candidate is highly organized, flexible, meticulous, and able to work independently and take ownership of tasks. This position is Full-time, Exempt and reports to the CEO.
Work Location: The Executive Assistant will work out of our HQ office 1-2 times per week, and remotely the remainder of the time. Once it is safe to do so, this position will be required to work from our office full-time. Our office space is approximately 10,000 square feet and enables ample social distancing from other employees, which we cap at five per day.
-Provide calendar management and scheduling support
-Screen and draft responses to email correspondence
-Serve as liaison to Board of Directors; coordinate and attend Board meetings
-Track expenses and complete expense reports
-Coordinate and prepare travel itineraries and logistics
-Monitor and manage the organization’s general inquiry inbox
-Visit office on regular basis to open, sort, and organize mail
-Manage office supply inventory and reorder, as needed
-Liaise with all office vendors and building staff to coordinate office needs
-Collaborate with Accounts Payables to ensure timely processing of invoices
-Support benefits enrollment
-Assist with onboarding new hires
-Assist in planning and coordinating employee engagement events
-Assist DEI taskforce on new initiatives, as requested
-Other duties, as assigned
Desired Qualifications & Skills:
-At least 3+ years of relevant work experience
-Proficiency with Google Suite (Calendar, Docs, Spreadsheets, Slides)
-Experience working in a fully remote environment preferred
-Experience working in a nonprofit organization preferred
-Excellent interpersonal and communication skills in-person and in writing
-Ability to organize, manage and balance multiple competing priorities at a time
-Strong research skills with ability to summarize findings
-Strong commitment to maintaining confidentiality
Compensation: Annual salary of $45,000 to $50,000 (commensurate with experience), ample Paid Time Off, 401k, comprehensive health benefits, commuter benefits.
