Registrar @ Maccabi USA




We are seeking a resourceful, detail-oriented data maven to serve as Registrar for Maccabi USA. This individual will focus on enrollment, maintaining our participants’ records, forms, and accounts receivable for all events including athletic competitions, fundraising events, and meetings, and assist with event logistics. As a member of the Programs Department, the Registrar will report directly to the Program Director and will also work closely with the Senior Director of Operations on administrative tasks, including sending receipts, generating invoices, and managing the database. Successful candidates should have excellent computer literacy, an affinity for good service, and a personable demeanor.

Primary Responsibilities:

1. Oversee Enrollment Process for All Games and Events
a. Create and maintain event application and registration
b. Process application data and maintain database
c. Oversee delivery of promotional products
d. Process event registration confirmations and team appointment packages
e. Oversee collection of event accounts receivable
f. Oversee collection of all necessary forms and data
g. Oversee registration of Supporters’ Mission, including ticket purchasing and credential distribution
h. Support Medical Advisory Committee in reviewing necessary health related forms
i. Post participant payments by recording cash, checks, credit card transactions, stock transfers, etc.
j. Transfer essential registration data to event organizers

2. Assist with Event Logistics
a. Collect, assign and maintain travel and lodging details for all delegation members
b. Provide on-site support as needed at events including meetings, fundraising events, and athletic tryouts
c. Provide support in collation and distribution of apparel for athletic competitions and fundraising events

3. General Administrative Support
a. Set up conference calls and where appropriate take minutes
b. Assist with answering incoming phone calls
c. Prepare materials for meetings and mailings
d. Respond to inquiries and requests
e. Distribute and mail (or email) materials and forms
f. Process charitable contributions including direct mail, campaigns, direct mail campaigns, and matching gifts
g. Assist with apparel sales

• Excellent written and verbal communications skills
• Expertise in Microsoft Office applications (Word, Excel, PowerPoint)
• Experience with Raiser’s Edge or another CRM database preferred
• Ability to work both independently and as part of a team
• Ability to multi-task on multiple projects at one time
• Ability to recognize and respond to change in a fast-paced office environment
• Ability to problem solve and offer solutions

• Some travel and night/weekend meetings may be necessary
• Prior experience in an office environment, preferably with a not-for-profit organization
