Morristown Jewish Center Beit Yisrael (MJCBY), a dynamic, egalitarian, Conservative 300 family member congregation in Morristown, NJ, is seeking a part-time Administrative Assistant to support our mission. POSITION OVERVIEW: The Administrative Assistant provides administrative support to the clergy, professional and office staff, coordinates communication to the congregation and facilitates a social media plan for congregational programming. He/She is responsible for working in collaboration with the Synagogue Administrator in a manner consistent with the values of Morristown Jewish Center Beit Yisrael.
ORGANIZATIONAL RELATIONSHIP: The Administrative Assistant is responsible to MJCBY’s President(s). S/he works closely in collaboration and coordination with the Synagogue Administrator and Rabbi as well as the education staff and lay leaders, and is responsible for supporting a warm, welcoming and caring environment for new, prospective and long-standing members of the congregation.
Specific responsibilities : The Administrative Assistant is responsible for assuring the performance of the following functions either personally or through his/her staff.
Answer the phones at the front desk
Order all office supplies
Order all business stationary
Order, wrap and prepare B’nai Mitzvah gift
Order Yahrzeit plaques
Order siddurs, chumashim and other HHD items (ie. groggers, Israeli flags)
Contact printer and mail service vendors for support

Create, print and mail monthly Yahrzeit letters
Record and track contributions for acknowledgment and monthly newsletter
Maintain phonetag database for voice messages
Record weekly voice messages and notices of passing
Assist with synagogue mailings (bills, newsletter)
Assist with preparation of High Holiday materials
Updated weekly schedule of services on website
Update member and prospective member information in Chaverware
Update and maintain synagogue website and Facebook page for events/calendar and content
Post/Submit synagogue events to local resources (Morristown Patch, NJJN, Jewish Federation Community and Family Calendars, Morristown Partnership, Jewish community Facebook pages, and others that are appropriate)
Creates flyers for synagogue events
Creates and sends eblasts to the community

Assistance to Rabbi:
Print and mail personal correspondences
Prepare Shabbat booklets and handouts
Prepare weekly bimah and High Holiday announcements
Prepare and mail new member welcome letters
Prepare and mail condolence letters
Prepare parsha materials for B’nai Mitzvah families
Work on honors list with B’nai Mitzvah families and Rabbi
Create and maintain chaperone list for B’nai Mitzvah
Create certificates for life cycle events (B’nai Mitzvah, baby namings, graduations, etc…)
Assist Rabbi with research or special projects when required
Assist Rabbi with sermons, mostly during High Holidays

The ideal candidate is a dynamic, creative and highly organized, resourceful person with strong interpersonal skills and a continuous improvement mindset. Knowledge of Jewish lifecycle events, Conservative Judaism and prior management experience in a Jewish organization is preferred. A college degree and minimum of 5 years’ work experience are preferred.

Hours: 25 hrs/week
