Program & Administrative Coordinator

ChaiVillageLA (CVLA) is a ‘virtual village’ serving the congregants of Temple Isaiah and Temple Emanuel of Beverly Hills. The village enables older congregants to remain in the homes and neighborhoods they love for as long as possible - and live productive and engaged lives. Village members provide each other with educational and social programming and caring services such as check-in calls and visits, rides to events or appointments, small errands, simple household repairs, interim pet care and technology assistance. The village is self-governing, and its activities are facilitated by our full-time Executive Director.

The Program & Administrative Coordinator’s responsibilities:

Program Support
- staff online and in-person programs, coordinate logistics (refreshments, volunteers, facilities)
- maintain online events calendar and inform both temples of village program schedule
- schedule ChaiVillageLA events in coordination with temple calendars

Member Support/Customer Service
- respectfully and resourcefully respond to member inquiries within 24 hours
- oversee member onboarding process, including Member Orientation/Training workshops
- provide phone and in-person basic technical support to members

Communications Support
- create weekly e-newsletter, event round-up, and draft other promotional materials
- record concise committee meeting minutes and distribute within a week

Administrative Support
- schedule meetings
- prepare service provider agreements, check requests, and donation acknowledgements
- data tracking and database maintenance (website and Google Drive)
- assist with grant management
- document village policies and procedures
- recommend system improvements

…and other duties requested by the Executive Director

Required Qualifications:
- Compassionate, personable and has genuine interest in older adult population
- Organized, reliable, efficient and has high level of accuracy
- Exemplary written and verbal (phone and in-person) communication skills
- Able to plan proactively yet also juggle changing priorities gracefully
- Strong computer skills using Zoom, MS Office (especially Excel and Word), databases and email marketing tools (preferably Constant Contact)

Salary: 40 hours/week @ $18-20/hour commensurate with experience & benefits.
Starting Date: June 1, 2021
