Clergy Administrative Assistant

Congregation Rodeph Shalom (RS) is a vibrant Reform community in center city

Assist the Senior Rabbi and the Rabbi
Calendar management and planning: at the clergy’s direction, manage schedule;
identify dates for clergy?led areas of responsibility
Setup and operational needs: Address schedule and layout for clergy?led areas
including worship and programs
Coordinate meetings as directed by clergy; coordinate clergy appointments with
congregants, Bar/Bat Mitzvah students and families, and others
Coordinate clergy communication including snail mail, email and telephone calls
including voice mail, as directed by clergy
Coordinate ritual?related areas of responsibility
Address special Kaddish and Yahrzeit requests
Communicate information to ensure memorial plaques are in place
For life cycle events, create pastoral care issue in Salesforce, share information for
inclusion in weekly email
Coordinate intake meeting and communicate information internally for
congregation?wide communication
Ongoing administrative work
Meet with clergy as needed
Attend weekly operational staff meetings, prepared with information that has an
impact on the operation of the synagogue
Coordinate the production of the weekly Shabbat program and cue sheets
Coordinate with Cantor’s assistant to be sure weekly Bar/Bat Mitzvah needs
(certificate, Kiddush cup) are provided
Coordinate Kaddish and Shloshim lists and double check for accuracy
Prepare weekly Shabbat information for clergy
Coordinate the production of Yahrzeit letters
Draft adult education and social justice weekly communication for clergy review
Provide technical support for Zoom meetings as needed
General event assistance
Weekly Shabbat Buerger ELC sing
Some Bar/Bat Mitzvah support; additional meetings as needed
Registration and reporting
Manage the student registration process for adult education and conversion students
Budget process
Provide support to clergy for budget management; assist with expense report process
Accounts payable
Coordinate paperwork for consultants, rabbinical students and other engagements
at the clergy’s direction and under the guidance of the Executive Director or designee
Technology, Marketing & Communications
Collaboratively identify information for synagogue Bulletin to Communications
Manager including managing death notice communications
Occasional assistance for Rabbis Emeriti
Schedule meetings for Rabbis Emeriti (two) at their direction in their offices or
virtual meetings
Support their administrative needs for educational programs and special events
Support colleagues in a team environment using a collegial and cooperative manner
College degree strongly preferred
Detail oriented, highly organized with excellent time management skills
Excellent verbal and written communication skills
Proficient in MS Office programs
Ability to work collaboratively
Understanding of how to work with volunteers
