Administrative Assistant

Temple Beth Sholom Early Childhood Center is seeking an Administrative Assistant for the school. The Administrative Assistant will report directly to the school Director. Hours are 9am-2:30pm Monday-Friday. The ideal candidate must be organized, energetic, and personable. Prior experience working in a childcare setting is preferred.
Job responsibilities include but are not limited to:
• Maintaining daily communication with parents and sharing information with classroom teachers and director
• Maintaining files and records for all students in the school, including attendance sheets, vaccination status, accident reports, allergies and child history
• Maintainingfiles and records for all staff members
• Supporting a safe and healthy environment in the school
• Attendingmonthly professional development and staff meetings
• Checking in with teachers to review applicable licensing regulations are being met
• Organizing and coordinating lunch and challah program
• Supporting and maintain records for our Early & Late Care programs
• Monitoring and ordering all supplies for office, classrooms and food service needs
• Updating social media platforms and advertising materials as needed
• Remini set-up and maintenance
• Assisting teachers with coverage in the classroom
• Demonstrating strong knowledge of Microsoft Word, Microsoft Excel and Zoom
• Maintaining confidentiality and professionalism

Communication with parents – answer phone calls, check Remini for COVID questionnaire daily, give messages to Jen and teachers

Help get children in/out of the building daily
Assist teachers in lunch, challah, supplies, set-up of classrooms
Communicate with food vendors re lunch and snack and fruit
Keep lists for challah and lunch
Order supplies – paper goods, snack, classroom needs, cleaning supplies
Keep staff training and files up to date
Help with OCFS compliance
Organize folders and info for all children including immunizations and forms
Remini set up and maintenance
Social Media
Payroll
Class lists
Cover teachers for personal calls and bathroom breaks
Details include, but not limited to:
Supporting the ECC Director in parent communication, helping teachers at drop-off and pick-up, answering phones and fielding questions about the school
Ordering supplies (art, paper goods, office)
Helong with lunch and challah distribution
Photocopies, spreadsheets, flyers
Remini updates and maintenance
Social Media/Advertising support
OCFS compliance - following guidelines, staff training
Organization - filing, supplies, and more!
