Program Administrator - Center for Special Needs

The Jack and Shirley Silver Center for Special Needs builds and nurtures an inclusive and accepting community where individuals with disabilities and their families have opportunities to make meaningful connections to each other and their communities. We serve as a catalyst and leader for transforming the ways in which the community at large understands and interacts with people with different abilities.

We are excited to hire a Full-time Program Administrator to support and work closely with the CSN Director and CSN team at the Marlene Meyerson JCC Manhattan.

Responsibilities will include:

1. Accounts Payable/Reconciliation of Expenses
? Assist Center Director with monitoring program projected budgets vs. actual expenditures and revenues
? Oversee scholarship request process
? Manage check requests including staff reimbursement and prepare expense reports for finance department
? AMEX statement reconciliation for 10 staff
? Responsible for quarterly financial reporting for government contracts in collaboration with grant writer
? Responsible for Self-Direction billing and reimbursement
2. Payroll Coordination - submit bi-weekly timesheets to payroll manager for 10-15 staff
3. Administrative Responsibilities for full cycle of staff employment
? Manage new hire paperwork process by interacting closely with HR dept regarding all new hires, staff changes and terminations.
? Track all Paid Time Off for all department staff
3. Responsible for all database input and maintenance including programmatic information and room requests, interacting closely with tech team on as needed basis
? Adaptations support including Google calendaring, Membership emails, attendance
4. Administrative support for/to:
? In-person or virtual programs on an as needed basis, including events such as (virtual) Special Needs School Fair
? Facilitate program evaluation with staff and collect data for reporting/philanthropic purposes
? Collect monthly highlights and accomplishments
? Maintain current marketing needs and CSN website language

5. Manage office space and organization
? Coordinate program and office supply purchases
? Purchase food for trainings and special events
? Serve as contact for office maintenance and organization
Position Requirements:
? Adept in Microsoft office and google suite including word, excel, powerpoint, google docs.
? Comfortable working with numbers, accounting or billing background a plus
? Strong written and verbal communication skills
? Organized, punctual, detail oriented
? Problem solving skills
? Prior experience with data entry and creation/interpretation of reports
? Experience with people with disabilities and/or grants a plus
